This Privacy Policy explains how Oxford Blue Pty Ltd (ABN 27 676 768 344), trading as VG Inspect ("VG Inspect", "we", "our", "us"), collects, uses, stores, and discloses your personal information.
VG Inspect is committed to protecting your privacy. Although as a small business we may be exempt from some obligations under the Privacy Act 1988 (Cth), we voluntarily handle personal information in accordance with the Australian Privacy Principles (APPs) as a matter of professional practice.
This Policy applies whenever you:

- Are referred to us by a third party

- Builder details (where you provide them)
- Photographs of the property taken during inspection
- Inspector observations, notes, and findings
- Communication records relating to the booking
2.3 Payment information
- Bank account details for direct transfer (where you provide them)
- Invoice records and payment status
- We do not store full credit card numbers; card payments are processed by third-party providers under their own security standards.
2.4 Technical information
- IP address
- Browser type and version
- Device type, operating system, and screen size
- Approximate geographic location (city / region level only)
- Pages visited on our website, time spent, click paths
- Referring website or search term (where available)
2.5 Marketing and communications
- Email correspondence
- SMS records
- Phone call records (when relevant for service delivery)
- Marketing preferences and opt-in/opt-out status
3. How We Collect Information
We collect information in the following ways:

- When you fill in forms on our website (quote requests, booking confirmation, contact form, newsletter signup)

- From referring partners (conveyancers, mortgage brokers, builders, real estate agents) where they refer you to us
- From publicly available sources (e.g. title searches, ABN lookup) where reasonably necessary
- From your authorised representatives (e.g. a spouse, partner, or real estate agent acting on your behalf)
We will tell you, at or near the time of collection, why we are collecting your information and how we will use it.
4. Why We Collect and Use Your Information
We collect and use your personal information for the following purposes:
4.1 Service delivery
- To provide quotes and confirm bookings
- To schedule and conduct inspections
- To prepare and deliver inspection reports
- To communicate with you about your booking
4.2 Business operations
- To issue invoices and process payments
- To maintain accurate business records
- To improve our services through feedback and review
- To investigate and resolve complaints or disputes
4.3 Legal and regulatory
- To comply with our obligations under tax, building, and consumer protection law
- To respond to lawful requests from government authorities
- To enforce our Terms & Conditions and protect our legal rights
4.4 Marketing (with your consent)
- To send you helpful content, service updates, or promotional offers
- To send you reminders about upcoming inspection stages
- To request reviews after your inspection is complete
You can opt out of marketing communications at any time (see Section 12). We will not send you marketing communications you have opted out of.
5. Who We Share Your Information With
We share your personal information with the following categories of third parties, only as necessary to deliver our services:

Each provider is bound by its own privacy and security obligations. We choose providers that maintain appropriate data protection standards.
5.2 Partner inspectors
Where we refer your booking to a partner QBCC-licensed inspector under clause 7.2 of our Terms & Conditions, we share the information needed for that inspector to perform the inspection (name, contact, property address, scope of inspection).
5.3 Government authorities
We may disclose your information to government authorities (e.g. QBCC, ATO, courts) where required by law, court order, or to protect our legal rights.
5.4 Business successors
If VG Inspect, or substantially all of its assets, is sold or transferred to a successor business, your information may be transferred to that successor as part of the transaction. We will notify you before any such transfer.
5.5 We do not sell your personal information.
We do not sell, rent, or trade your personal information to third parties for their own marketing purposes.
6. Photographs and Inspection Records
Photographs taken during inspections are part of our inspection records. We retain them as evidence of inspection findings and to support the report.
6.1 Internal use. Photographs are stored securely in our Dropbox file system and accessed only by VG Inspect personnel and (where relevant) partner inspectors.
6.2 Marketing use. We may publish de-identified excerpts of inspection records on our website or in marketing materials as evidence of recent work — for example, a redacted report cover showing only the suburb, inspection type, and month. We do not publish:
- Your name
- The full property street address
- Photographs of the property exterior in identifiable form
- Any other content that could reasonably identify you or the property
6.3 Opt-out. If you wish to opt out of any marketing use of your de-identified inspection records, email us at adam@vginspect.com and we will exclude your records from such use.
7. International Data Transfers
Some of our service providers store data outside Australia. Specifically:
- Google, Dropbox, Anthropic, and Replit primarily store data on servers in the United States
- ClickSend operates Australian and international infrastructure
- Xero stores data in Australia and New Zealand
When data is transferred overseas, we take reasonable steps to ensure the recipient handles the information consistently with the Australian Privacy Principles.
8. Storage and Security
We store your information using reasonable technical and organisational security measures, including:
- Encrypted storage where supported by the provider
- Access controls limiting who can view your information
- Secure transmission (HTTPS) for all website forms
- Password protection on all administrative systems
- Regular review of provider security practices
Data breach response. If a data breach occurs that is likely to result in serious harm to you, we will notify you and the Office of the Australian Information Commissioner in accordance with the Notifiable Data Breaches scheme.
No system is completely secure. While we take reasonable steps to protect your information, we cannot guarantee absolute security and you provide information to us at your own risk.
9. How Long We Keep Your Information
We retain personal information for as long as needed for the purposes set out in this Policy, including to meet our legal and regulatory obligations:
- Inspection records (including photographs and reports): 7 years from the date of inspection, to meet our professional and regulatory obligations
- Financial records (invoices, payments): 7 years from the date of the transaction, as required by the Income Tax Assessment Act 1997 and related laws
- Marketing data (email list, preferences): Until you opt out or unsubscribe
- Failed or cancelled bookings without payment: 12 months from cancellation
- Website analytics data: As per Google Analytics defaults (currently 14 months)
- Communications (emails, SMS): 7 years, in line with business record-keeping practices
After the retention period expires, we will de-identify or securely destroy the information, except where we are required to keep it for longer by law.
10. Your Rights
You have the following rights regarding your personal information:
10.1 Access. You can request a copy of the personal information we hold about you. We will respond within 30 days. We may require you to verify your identity before providing access.
10.2 Correction. You can request that we correct any information that is inaccurate, out of date, incomplete, or misleading. We will action correction requests promptly.
10.3 Deletion. You can request that we delete personal information about you. We will action deletion requests except where:
- We are required by law to retain the information (e.g. tax records)
- The information is part of a current inspection record we are required to keep
- Deletion would prejudice a current dispute or legal proceeding
10.4 Marketing opt-out. You can unsubscribe from marketing communications at any time (see Section 12).
10.5 Withdraw consent. Where we rely on your consent to process information, you can withdraw that consent at any time. Withdrawal does not affect processing already conducted.
10.6 Complaint. You can complain about our handling of your personal information (see Section 15).

11. Cookies and Analytics
Our website uses cookies and similar technologies for the following purposes:
11.1 Essential cookies (required for the website to function): Session management for booking flows, login state, security tokens. These cannot be disabled.
11.2 Analytics cookies. We use Google Analytics 4 (tracking ID G-63ELRCTH4B) to understand how visitors use our website. Analytics cookies collect anonymised data about pages visited, time on site, and referral sources. You can opt out by:
- Installing the Google Analytics Opt-out Browser Add-on
- Disabling cookies in your browser settings
11.3 Advertising cookies. We use Google Ads (account AW-17852740153) for conversion tracking and remarketing. This allows us to measure the effectiveness of our advertising and to show relevant ads on Google's network. You can opt out at Google Ads Settings.
11.4 Browser controls. You can manage cookies via your browser settings. Note that disabling cookies may affect functionality of our website, including the booking flow.
12. Direct Marketing
12.1 Email marketing. We may send you marketing emails (newsletters, helpful inspection content, service updates) if you have opted in by:
- Subscribing to our newsletter
- Downloading a lead magnet (e.g. our Pre-Settlement Checklist)
- Indicating consent in another clear and informed way
Every marketing email contains an unsubscribe link. Clicking it will remove you from the marketing list immediately.
12.2 SMS communications. We send transactional SMS (booking confirmations, inspection reminders, payment notifications) as part of providing our services. These are not promotional and do not require separate marketing consent.
We may also send promotional SMS where you have explicitly opted in. Reply STOP to any promotional SMS to unsubscribe.
12.3 Spam Act compliance. We comply with the Spam Act 2003 (Cth). All commercial electronic messages we send include sender identification, a functional unsubscribe option, and only go to recipients who have consented.
13. Children's Privacy
VG Inspect's services are directed at adults purchasing or building residential property. We do not knowingly collect personal information from anyone under the age of 18. If we become aware that we have collected information from a minor, we will delete it promptly.
14. Updates to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or for other operational reasons.
Notification. The "Last updated" date at the top of this Policy will reflect any changes. For material changes, we will give reasonable notice — for example, by displaying a notice on our website or, where appropriate, by emailing you.
Acceptance. Your continued use of our services after a Policy update indicates your acceptance of the updated Policy.
